About the Opportunity

The Project Coordinator will plan, manage, and execute new and cross-functional projects within a defined timeframe/scope and support the change management that will occur for stakeholders of these initiatives.  This incumbent serves as an innovator, problem solver, change leader, trainer, and process creator for departments and teams at all levels at Chautauqua Institution. 

The Project Coordinator reports to the Manager of Strategic Initiatives to develop project plans, create timelines, advance priorities, establish systems and documentation, ensure adoption/usage by teams, and measure/report on the success of project implementation.  This is an inaugural position for the Institution, core to the delivery of strategic objectives and cross-functional imperatives of the 150 Forward Strategic Plan, and will serve primarily to advance, support, and track projects and the impact of change.

About Your Work

  • Conduct impact analyses to assess change readiness and identify key stakeholders, policy owners, and subject matter experts.
  • Apply and implement a structured methodology for change management and help create templates for use in all Institution-wide initiatives.
  • Assist in creating, managing, and tracking project planning documentation including but not limited to project schedules, change management plans, communication plans, and staff resource plans.
  • Design and craft the development of internal and external communications relevant to the impact of new systems and procedures implemented for the organization.
  • Collaborate with internal stakeholders on business initiatives, resource planning, and special projects.
  • Proactively identify and find creative solutions for complex business challenges.
  • Develop a deep understanding of the business and be a person that can help connect the dots between teams to identify areas for improvement, efficiency, and collaboration.
  • Provide input, document requirements, and support the design and delivery of training programs.
  • Identify ways to grow the organizational talent related to implemented systems.
  • Help craft new policies related to data and business processes as necessary based on the organization's continued advancement of the 150 Forward Strategic Plan.

About the Location, Schedule, and Travel

The Project Coordinator will work full-time with the ability to work a flexible schedule.  The schedule may include daytime and evening hours, weekdays, and weekends, especially in the busy summer operating season and during major events.  This position will be based in Chautauqua Institution’s home office, located in Southwestern New York State.

Educational Background: 
Required Education:  Bachelor’s Degree in Business, Computer Science, or related field.
Preferred Education: Master’s Degree in Business, Computer Science, or related field or the equivalent combination of education and work experience.
Skills/Experience: 

Experience

Required Experience: 5-years of project management experience with working knowledge of change/impact created by new initiatives and projects and their influence on organization operations and procedures.

Preferred Experience:  In addition to experience requirements, preference will be given to candidates with a certification in change management and/or proven change management success in a cross-functional and dynamic work environment, with a background in education or training, and with crafting process/procedure and implementation of both.

  • Project management experience including, but not limited to, project planning, timeline development, staff supervision, budget development/management, results-oriented planning, data gathering/analysis, communicating with stakeholders and partners.
  • Innovation and fluency of ideas to recognize opportunities of change, direct project work toward a future vision, lead teams toward that vision and realize desired outcomes/measures of success.
  • Adaptability to new skills at a continually evolving and rapid pace in a culture of visionary thinkers.
  • Analytical thinking to identify complex issues, use critical thinking, logic, reasoning, and relevant information to evaluate options, develop appropriate/effective solutions, and mitigate risk.
  • Problem-solving capabilities to identify the root cause of problems, use critical thinking, logic, reasoning, and relevant information to evaluate options, and develop appropriate, effective solutions.
  • Technical savvy in Information Technology Systems and how they form a technology ecosystem.
  • Logic and reasoning to understand theories, principles, and practices related to project/change management and technology, to use this knowledge to support strategies, implement and deploy new solutions, and ensure healthy operations organization-wide through analysis of success.
  • Relationship and team-building expertise to collaborate effectively across interworking groups and to ensure adoption and usage of new systems and processes.
  • Balanced self-starter and team player focused on work that builds a foundation of process and procedure, accomplishes routine responsibilities, plans for the future, and meets deadlines and goals.
